This Privacy Policy explains how Filerra, LLC (“Filerra,” “we,” “us”), a Florida limited liability company, collects, uses, and shares information when you use our websites and Services — including the websites of our wholly owned state brands, such as FloridaFormed.com. By using the Services, you agree to this Policy.
1. Information we collect
- Information you provide: your name, email, phone number, and details about the business you’re forming — such as company name, address, owners/members, and the state of formation.
- Existing-company information: for annual-report, reinstatement, and registered-agent-change orders, your company’s registered name, Sunbiz document number, status, current registered agent, and related public-record details, which we may look up on the state’s records to confirm.
- Filing information: data required by government agencies to complete your filings, which may include tax identifiers you supply.
- Registered-agent mail: where we serve as your registered agent, the official correspondence and service-of-process documents delivered to us on your company’s behalf, including the scanned copies we make to forward them to you.
- Payment information: processed by our payment provider; we do not store full card numbers on our servers.
- Usage & device data: basic analytics such as pages visited and approximate location, collected with privacy-friendly tooling.
2. How we use information
- To prepare, submit, and track your filings with the relevant agencies.
- To provide compliance reminders, registered-agent service, and customer support.
- To process payments and prevent fraud or abuse.
- To improve the Services and communicate with you about your account.
3. Registered-agent mail & service of process
Documents delivered to us as your registered agent are opened only to the extent needed to identify, scan, and route them. Scans are emailed to the contact details on your account the business day they arrive; service-of-process documents are additionally flagged by phone because they start legal deadlines. Access to this mail is limited to staff (or a designated registered-agent fulfillment partner operating under contract with us) who need it to provide the service. We retain digital copies for as long as we serve as your agent and thereafter as recordkeeping law requires, and we hold or forward originals on request. We do not use the contents of your legal mail for marketing, and we never sell them.
4. How we share information
We share information only as needed to deliver the Services:
- Government agencies, to make the filings you request. Note that much of what a state filing contains — company name, addresses, registered agent, and often member or manager names — becomes part of the state’s permanent public record.
- Service providers (e.g. payment processing, registered-agent fulfillment partners, email and analytics) who process data on our behalf under contract.
- Legal reasons, when required by law or to protect rights and safety.
- Business transfers, if Filerra is involved in a merger or acquisition, subject to this Policy.
We do not sell your personal information.
5. Cookies & analytics
We use a small number of cookies to keep you signed in and to understand aggregate usage with privacy-respecting analytics. You can control cookies through your browser settings; some features may not work without them.
6. Data retention
We keep your information for as long as your account is active and as needed to provide the Services, comply with legal and recordkeeping obligations (filings and registered-agent records often must be retained for years), resolve disputes, and enforce our agreements.
7. Your rights & choices
Depending on where you live, you may have rights to access, correct, delete, or port your personal information, and to opt out of certain processing. To exercise these rights, email privacy@filerra.com. You can unsubscribe from marketing emails at any time using the link in the email. Information that has already become part of a state’s public record is controlled by the state, not us.
8. Security
We use technical and organizational safeguards — including encryption in transit — to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
9. Children
The Services are not directed to children under 18, and we do not knowingly collect their personal information.
10. Changes to this Policy
We may update this Policy from time to time. If we make material changes, we’ll post the new Policy here and update the date above, and where appropriate notify you by email or in-app.
